Clinic appointment booking software: how to choose the right one
Reception spends the day answering the same questions, and doctors share rooms and time. Here is what to look for in clinic booking software, and what not to put in it.

In most clinics, reception is the bottleneck: calls about times and prices all day, WhatsApp messages arriving after hours, and a paper diary that is hard to read once more than one doctor works there.
Booking software doesn't solve every clinic problem. It takes the repetitive part off reception and gives you clear numbers on no-shows and revenue.
Why clinics move to online booking
- Patients want to book when they remember, even at 11 pm.
- Doctors share rooms and assistants, and a manual schedule gets tangled easily.
- There is no clear picture of who misses appointments, who comes regularly, and what the day brought in.
What clinic booking software should do
| What you need | What to look for |
|---|---|
| A booking page that works 24/7 | Services, doctors and open times, no app |
| A schedule per doctor | Daily and weekly views with live availability |
| Approval before confirming | Review a request before it becomes a confirmed appointment, when you need to |
| Confirmations and reminders | A ready WhatsApp message with the time and address |
| An administrative patient file | Visits, payments and no-shows |
| Recording deposits | Ask only patients who keep missing visits, and see it in your accounts |
| Revenue | Cash, card and transfer, daily and monthly |
| Permissions | Owner, manager, reception and doctor each see their part |
Dental, dermatology and multi-specialty clinics
Dental clinics: sessions vary a lot in length, from a quick check to a long root canal. The software must know each service's duration, or appointments will overlap. See how this works in Dorak for dental clinics.
Dermatology and aesthetics: many short services and repeat visits, so follow-ups and reminders for the next session make a big difference.
Multi-specialty centres: each doctor has their own services and hours, and reception needs one screen for the whole day. Choose software that links each service to the doctor who provides it.
Cutting patient no-shows
A no-show costs a clinic more than most businesses, because the slot is tied to a doctor's time that can't be resold. Three habits make the difference:
- Confirm right after booking, with the time, address and a map link.
- Send a short reminder before the visit.
- Give a link so patients can change the time themselves instead of not turning up.
For patients who keep missing visits, ask for a deposit before the next one. Details are in our guide to reducing no-shows.
Booking software is not a medical record
Booking software manages time, contact details, visits and payments. Diagnoses, prescriptions and clinical notes belong in an electronic medical record (EMR), with different permissions and protection.

Many clinics start with booking because it relieves reception straight away, then choose a medical record system later. Don't write clinical details in booking notes, and follow your clinic's privacy policy.
Moving off the paper diary without chaos
- Pick a start date. From that day, no new booking goes in the diary.
- Enter appointments already booked so the schedule is complete.
- Add each doctor's hours, breaks and days off.
- Share the booking link on WhatsApp, your Google Maps profile and social pages.
- Reception records phone and walk-in bookings in the software only.
